Everything you need to know about working with Fortitude Labs — from infrastructure and inbox placement to pricing and getting started.

General Questions

Fortitude Labs is a UK B2B lead generation agency and your dedicated cold outreach email provider. We handle everything behind the scenes — sending infrastructure, prospect research, expert copywriting, campaign management, inbox monitoring, and reply handling — so you get qualified conversations without the operational overhead. Think of us as the outreach department you'd build internally, without the hiring, the tooling, or the 6-month learning curve.

No. Fortitude Labs operates entirely separately from email marketing platforms and ESPs (like Mailchimp, HubSpot, or marketing automation tools). We handle cold outreach to prospects and dormant contacts outside your marketing infrastructure — protecting your ESP sender reputation. Once contacts show interest, they can be passed back into your marketing platform for further nurture.

Those are powerful self-service platforms — but they're tools. You still need to configure the infrastructure, warm up domains, source data, write copy, monitor health scores, manage replies, and iterate on performance. We do all of that for you. Fortitude Labs gives you the same enterprise-grade infrastructure — dedicated-tenant servers, managed warm-up pools, real-time health scoring — but operated by a dedicated team that lives and breathes cold outreach every day. You get the results without the operational complexity.

We work with B2B companies at any stage. If you're new to cold outreach and want to launch quickly without the learning curve, we'll get you results from the first campaign. If you're already running outreach and want better performance or safer scale, we'll audit, improve, and accelerate what you have. Typical clients include SaaS companies, professional services firms, technology vendors, recruitment agencies, and growth teams that need pipeline without the headcount.

From signed agreement to first sends in 14 days. Infrastructure setup, domain warm-up, data sourcing, copy creation, and your approval review are all handled in parallel. Most clients see their first positive replies within the first week of sending.

Managed cold email outreach means we handle every aspect of your cold email campaigns end-to-end. Infrastructure provisioning, domain warm-up, prospect data sourcing, expert copywriting, campaign execution, inbox monitoring, reply classification, and performance optimisation — all managed by our dedicated team. You get the results of a world-class outreach operation without building or managing it yourself.

As a UK-based B2B lead generation agency, we understand the nuances of UK and European business communication, GDPR compliance requirements, and regional market dynamics. Our team operates in UK business hours, maintains full GDPR compliance, and combines local market understanding with the ability to run campaigns across UK, European, US, and international markets.

Infrastructure & Inbox Placement

Inbox placement measures whether your emails land in the primary inbox versus the spam folder. The industry average for cold email is 60-70%. We consistently achieve 90%+ through dedicated-tenant infrastructure, controlled warm-up schedules, real-time health monitoring, and intelligent sending behaviour that respects mailbox limits and avoids spam triggers.

Unlike shared platforms where your sending reputation is mixed with thousands of other users, we provision dedicated infrastructure for each client. Your IPs, your domains, your warm-up pool. This means you control your own sender reputation — you're never affected by another sender's mistakes or bad practices.

Every sending domain is continuously monitored with a health score recalculated every 30 minutes based on bounce rates, spam signals, and delivery failures. If a domain dips below our safety thresholds, sending is automatically paused and our team is alerted. We also run rapid-response checks every 10 minutes on active mailboxes to catch sudden spikes before they cause lasting damage.

No. We provision, configure, and manage dedicated sending domains and mailboxes on your behalf. Everything from DNS configuration (SPF, DKIM, DMARC) to warm-up management is handled by our team. Your existing domains are never touched.

We run a private, reward-based warm-up network engineered to build sender reputation before a single prospect email is sent. Our warm-up engine simulates real opens, reads, and replies to make your domains look organic and trustworthy. This establishes domain credibility, reduces bounce rates, and keeps future campaigns away from spam folders.

Yes — this is one of our core strengths. We manage mailbox pools that distribute sending load, with health-gating that prevents any single domain from being overloaded. Clients regularly scale from hundreds to thousands of sends per week without measurable deliverability degradation.

Copy & Research

Yes. Our research engine analyses each prospect individually — company summary, likely pain points, trigger events, role priorities. Our copywriters then use that intelligence to craft genuinely personalised outreach. Not templates with mail-merge fields. Not mass-produced sequences. Expert-written copy tailored to each prospect. You approve everything before it goes live.

Because humans write them. Every message is crafted by experienced copywriters who use deep prospect research to write relevant, natural-sounding outreach. Every message then passes through a compliance and tone filter that strips clichés and ensures copy matches the voice we've defined for your brand.

Absolutely. Nothing is sent without your explicit sign-off. Our approval workflow lets you review every step of every sequence, make inline edits, approve or reject individual stages, and see exactly how emails will look for a sample contact. You're in control at every stage.

Yes. We start every engagement by documenting your brand profile — tone of voice, preferred phrases, what to avoid, communication style. This is applied across every piece of copy we produce, so outreach sounds like an extension of your own team, not an outsourced agency.

We run multichannel campaigns across cold email and LinkedIn outreach. Email sequences and LinkedIn connection requests/messages can be coordinated in a single campaign — so prospects receive consistent, personalised touchpoints across channels without duplication.

Data & Compliance

Both. We source, validate, and manage B2B contact data from leading data providers on your behalf. Every prospect is verified across multiple sources to keep bounce rates low. Or if you have existing data, we validate and enrich what you have before any outreach begins.

We operate within GDPR and CAN-SPAM frameworks across all outreach. Every campaign includes a clear unsubscribe mechanism. Opt-out requests are processed instantly and added to a suppression list that persists across all campaigns. We maintain full audit trails of all outreach activity, and data is handled in accordance with applicable data protection regulations.

Unsubscribe requests are processed immediately — either automatically (our system detects opt-out language like "stop", "remove me", "unsubscribe" at 99% confidence) or manually via our managed inbox. Contacts are added to a permanent suppression list and excluded from all future outreach.

Yes. All client workspaces are fully isolated — your data is never shared with or visible to other clients. We operate enterprise-grade data separation and access controls throughout.

Working With Us

After signing, we kick off with a discovery session to understand your ICP, messaging goals, and brand. We then handle all infrastructure setup, data sourcing, copy creation, and approval in parallel — targeting your first sends within 14 days. You'll have a dedicated team throughout.

Very little. The biggest time commitment is the initial discovery call (30-60 minutes) and the copy approval review. After that, we handle the day-to-day operations. You'll receive regular reports and can jump in any time, but the point is that you don't have to.

Every reply is classified automatically by intent. Positive responses — meeting requests, questions, warm interest — are flagged instantly and forwarded to you or your team. Negative responses, out-of-office replies, and opt-outs are handled automatically. You only spend time on conversations that matter.

Regular performance reports covering inbox placement rates, open rates, reply rates, positive reply breakdown, and pipeline impact. We track everything so we can continuously optimise — and so you can see exactly what your investment delivers.

GDPR & Data Protection

For B2B prospecting we rely on legitimate interests (Article 6(1)(f) UK GDPR / EU GDPR). We document a Legitimate Interests Assessment (LIA) for each campaign covering purpose, necessity and balancing test, restrict outreach to business contacts in roles where our service is plausibly relevant, never message individuals in their personal capacity, and honour any objection immediately. Where ePrivacy / PECR-equivalent rules require consent (for example unsolicited marketing to sole traders or partnerships in the UK), we adjust scope accordingly. The full posture is on the /gdpr-compliance page.

Yes — we have a named Data Protection Officer who is the single point of contact for any data-protection question, regulator enquiry, or data-subject request. Prospect and campaign data is hosted in UK / EU data centres on infrastructure operated under standard data-processing agreements; we do not transfer personal data outside the UK / EEA without an appropriate transfer mechanism in place. Contact details for our DPO and our data residency arrangements are on the /gdpr-compliance page.

Opt-out / unsubscribe requests are processed immediately — typically within minutes, and always within the same business day. The contact is added to a permanent suppression list that persists across all clients, all domains and all future campaigns, so the prospect cannot be re-introduced. Erasure (right to be forgotten) and other data-subject requests are actioned within UK GDPR statutory timelines (one calendar month, extendable only where strictly permitted), with confirmation back to the requester.

Yes. We share our Data Processing Agreement (DPA), the Legitimate Interests Assessment template applied to your campaigns, the records-of-processing entry covering the engagement, our sub-processor list, and our data residency / retention policy at proposal stage. Everything is reviewed and re-issued as needed if scope changes during the engagement.

Two Lanes & Brand Domain

No. Cold outreach runs on isolated, purpose-built sending domains we provision and manage. Your brand domain is never used for prospecting, so the reputation it has built for nurture, transactional and lifecycle email is preserved.

Two lanes means cold outreach and brand email run on completely separate infrastructure: different domains, different DNS authentication, different sending platforms, different mailboxes. The wall between the lanes is what stops a cold-outreach event from ever reaching your brand domain. The full model is on the /cold-vs-brand-email page.

Horizontally. To grow capacity we add more cold domains and more mailboxes, each kept well within safe per-mailbox daily volumes. We never push more volume through an existing domain than its reputation can sustain. Vertical scaling burns domains; horizontal scaling does not.

It is contained. Each cold domain is isolated, so a bounce spike or complaint event on one domain stays on that domain. The brand domain is never affected, and we burn-and-replace the cold domain if the issue can’t be recovered.

Deliverability Mechanics

New cold mailboxes start near zero and ramp daily volume gradually over several weeks, while a managed warm-up network sends and replies to real conversational messages from those mailboxes. The combination of slow ramp plus reputation network is what teaches providers to trust the sender.

A polite cadence keeps the number of touches per prospect per active month small, with real space between sends and a clean re-touch later. Aggressive 8-step pursuit sequences burn the prospect and the domain; a polite cadence produces a higher share of positive replies and better deliverability over time.

Each mailbox has a safe daily ceiling we never breach. Sending is distributed across many mailboxes and many cold domains, so total programme volume can grow significantly without any single mailbox going over its limit. The /deliverability page shows the volume mechanics in detail.

We score every cold domain in real time using a combination of seed-list inbox tests, bounce and complaint signals, and reply rate. If a domain’s health score drops below threshold, sending on that domain is automatically paused and the issue is investigated before it can spread to neighbouring domains.

LinkedIn Outreach

Yes. Managed LinkedIn outreach is a standalone channel and can also be run alongside cold email. It uses real profiles, runs on polite cadences, and is approval-gated the same way email sequences are. Reply handling routes positive responses to a real human within the same business day.

No. LinkedIn is a live channel from the day a profile is connected. There is no DNS, no domain reputation, no equivalent of an email warm-up ramp. That makes it unusually fast to switch on as an additional channel.

LinkedIn capacity is bounded by people, not infrastructure. To grow weekly invites and conversations, we add more rep profiles — each operating safely within platform limits. The /services/linkedin-outreach page shows how reps map to reach.

No. When both channels run, sequences are de-duplicated at the contact level. A given prospect receives a coordinated narrative across the two channels — never the same pitch from both at the same time.

Pricing & Contracts

Our pricing is based on the scope of your campaign — contacts, channels, sequence complexity, and send volume. We offer fixed monthly retainers with no hidden fees. Book a discovery call and we'll provide a tailored proposal after understanding your requirements.

We offer monthly rolling agreements. We're confident in the results we deliver — you shouldn't need to be locked in for a year to experience them.

Yes. Our campaigns run across UK, European, US, and international markets. We configure timezone-aware scheduling and comply with the relevant regulations for each geography.

We'll audit what you have. If your infrastructure has risk, we fix it. If your copy is underperforming, we rebuild it. If your volumes are constrained, we scale them safely. For existing cold outreach operations, our typical outcome is either meaningfully reduced cost per reply or increased volume — often both.

Unlike self-service cold email platforms, Fortitude Labs is a fully managed cold outreach email provider. We don't just give you tools — we operate them. Dedicated-tenant infrastructure, expert-written copy, real-time health monitoring, and a team that manages every aspect of your campaigns. Most cold outreach email providers offer shared infrastructure and templates. We provide enterprise-grade, isolated infrastructure and bespoke copy crafted by experienced writers.
